You don't need a training management platform

You don't need a training management platform to win new business - you need a CRM that helps you convert the enquiries you're already getting.

You don't need a training management platform

If you've looked into fixing your enquiry and enrolment problem, you've probably ended up looking at a training management system. Arlo, Administrate, accessplanit, and others like them show up in every search for "software for training providers," and it's easy to assume that's what you need.

Here's the thing worth saying before you get further into that research: a training management platform solves a different problem than the one most training providers actually have first.

It's built to run the courses you've already sold, but most training providers are stuck a step earlier than that. They can't see who wants to enrol in the first place. If that sounds familiar, it's worth exploring why training providers still run enquiries through a spreadsheet, it's the same problem from the other direction.

What a training management system is actually for

Arlo, Administrate, and accessplanit are capable platforms. They're built to manage the operational side of running training at scale: scheduling sessions across venues and instructors without double-booking, building and delivering eLearning content (often SCORM or xAPI compliant), tracking compliance and certification renewals across large learner populations, handling resource allocation for trainers and rooms, and generating the invoicing and reporting a training business needs to run.

That's a real job, and for the right business, it's the right tool. A training provider running dozens of concurrent cohorts, delivering accredited eLearning at volume, or coordinating a large pool of instructors across multiple sites has operational complexity that genuinely benefits from a dedicated system built for exactly that.

But that's not where most training providers' problems actually start.

The problem underneath the problem

Talk to a training provider who's frustrated enough to be shopping for software, and the frustration is rarely "we can't schedule our courses." It's usually some version of: enquiries go quiet, and nobody notices; two people end up chasing the same lead; a waitlist doesn't get worked when a space opens up, or a colleague goes on leave, and their open enquiries disappear with them.

That's not a course delivery problem. That's a visibility problem, and it sits earlier in the funnel than anything a training management system is designed to fix. A TMS assumes the enrolment has already happened, or is close enough to certain that it's worth scheduling around. It's built to manage the learner journey from "booked" onward. Everything before that, the enquiry, the follow-up, the will-they-won't-they conversation that determines whether there's a course to schedule at all, isn't really what these platforms are for.

That's the job of a CRM.

What changes if you start with a CRM instead

A CRM built around enquiries and enrolments gives you the visibility that's actually missing: every enquiry logged the moment it comes in, tagged with the course or programme it's about, sitting in a pipeline that shows exactly what stage it's at. Follow-up tasks that don't rely on someone remembering. A shared view the whole team works from, so nothing depends on one person's inbox or memory. If missed follow-ups are your main pain point, The No-Missed-Enquiry Checklist is a quick way to see where the gaps are.

For most training providers, that's the fix. Not a platform that reconfigures how courses are scheduled and delivered, but a system that makes sure the enquiries feeding into that schedule don't leak away before they become enrolments.

It's also a genuinely different kind of commitment. A training management system is typically a configured platform: an implementation project, an onboarding period, and a price point built around running your whole training operation through it. A CRM like Capsule is something a team can be using inside a day, without reshaping how courses are actually delivered underneath it. And a CRM's usefulness doesn't stop at enrolment, you can use it to turn past learners into repeat business for what to do once a cohort finishes.

When you do need a training management system

To be fair to the category: if your actual bottleneck is course logistics rather than enquiry visibility, a CRM won't solve that, and a TMS is the right call. Signs you're in that situation include running eLearning at real volume with SCORM content to manage, coordinating instructors and rooms across enough concurrent sessions that scheduling conflicts are a constant fire drill (especially once you're keeping track of enquiries and enrolments across multiple sites), or tracking certification compliance across a large, ongoing learner population where the reporting itself is the job.

Plenty of training providers eventually need both: a CRM for the sales and enquiry side, and a TMS for the delivery and compliance side, connected rather than merged. That's a reasonable setup. It's just not where most providers should start, and it's rarely where the most immediate pain actually is. If you're trying to work out which camp you're in, Capsule vs a training management system walks through the comparison directly.

Start with the problem you actually have

Before signing up for a platform built to run your entire training operation, it's worth being honest about which problem is costing you enrolments right now. If it's enquiries going quiet, follow-ups slipping, or nobody having a clear view of what's stalled, that's a CRM problem, and it's a much smaller step to fix than a full TMS implementation.
