The official Capsule plugin for ChatGPT lets you work with your CRM in everyday language. Ask a question and ChatGPT pulls the answer straight from your Capsule account: who you need to follow up with, which opportunities are closing this month, or what happened on a project last week.
It works both ways. Tell ChatGPT to add a contact, opportunity, project, task, or a note, and it will do it for you - all without leaving the chat.
Ask ChatGPT about your CRM
- Get quick answers: "Which opportunities over $10k are due to close this month?"
- Prep for meetings: "Summarize everything we know about Acme Corp before my 2pm meeting."
- Stay on top of follow-ups: "Which of my contacts haven't heard from us in 30 days?"
- Spot trends: "Break down my won deals by source this quarter."
Get ChatGPT to update Capsule for you
- Add new contacts: "Add Sarah Jones from Brightwave as a new contact and create a follow-up task for Friday." -
- Turn meeting notes into next steps: "Here are my notes from today's meeting with Brightwave. Log them on their record and create a task for each action point."
- Log the details while they're fresh: "Log a call with Priya at Northfield. She wants a revised quote by Thursday, so set a task for me to send it."
- Set up a new deal: "Create a $15,000 opportunity for Acme Corp's website redesign, expected to close in March."
- Kick off a project: "Create an onboarding project for Acme Corp and link it to their organization."
- Fill in the gaps: "Set the Renewal date field on Acme Corp's record to June 30."
- Plan your week: "Create a follow-up task for every opportunity closing this month that hasn't had any activity in two weeks."

Security and control
ChatGPT only sees what your Capsule user can see. You sign in with your own Capsule account, you decide which tools ChatGPT can use, and you can disconnect at any time.
Frequently Asked Questions
It's a connection that links ChatGPT to your Capsule CRM data, so you can ask questions about your contacts, pipeline, tasks, and projects in plain language and get answers pulled from your live account.
Yes. The ChatGPT connector has read-write access, so it can add to your CRM data as well as search and analyze it. Enabling the connector allows you to do the following in Capsule CRM:
- Create Tasks
- Attach Custom Fields to Contacts, Organizations, Opportunities, and Projects. Note: While you can ask ChatGPT to add or update an existing Custom Field on a record, the connector cannot create brand new Custom Fields in your CRM or remove them from records.
- Create a Contact
- Create an Opportunity
- Log an activity. Note: the ChatGPT connector cannot currently attach uploads.
- Create a Project related to a Contact or Organization record.
We've deliberately restricted ChatGPT to only create new records and attach or replace Custom Fields for now, to help you avoid accidentally overwriting your records.
To connect Capsule CRM with ChatGPT, you'll need to use Capsule's Growth, Advanced, or Ultimate plan.
On ChatGPT's side, availability depends on your ChatGPT plan and workspace settings, and using the connector counts toward your ChatGPT usage limits. On ChatGPT Business, apps are turned on by default, though an admin can change this.
On ChatGPT Enterprise and Edu, a workspace admin may need to enable Capsule CRM before members can use it. Either way, each person still has to sign in with their own Capsule CRM account.
The ChatGPT connector links your Capsule account to your own ChatGPT account, so data sharing and retention are governed by your ChatGPT account settings, not Capsule CRM.
On ChatGPT Business, Enterprise, and Edu, OpenAI doesn't use information accessed through connected apps to train its models by default. On ChatGPT Free, Go, Plus, and Pro, it may be used for training if your "Improve the model for everyone" setting is on. You can check or change this from ChatGPT's Data controls settings.
If you no longer wish to use ChatGPT with your Capsule CRM account, you can disconnect it at any time. Open your ChatGPT settings and select 'Plugins'. Choose 'Capsule CRM', then select 'Disconnect' (you may find this in the more options menu, shown as three dots).
If you're on a ChatGPT Business or Enterprise workspace, your admin can also disable the connector for everyone from the workspace settings.
ChatGPT can access data across a few core areas of Capsule: contact management (contacts, organizations, and tags), sales (opportunities and your pipeline), and day-to-day activity like tasks and projects. What it can actually do with that data (read it, create something new, or update a value) depends on the specific action (known as ‘tools’) involved.
Visit our support guide for the full technical breakdown of every ‘tool’ the ChatGPT connector has access to.
No. Think of your Capsule CRM data as though it stays behind a fence: ChatGPT can't access any of it until it's actually asked to, whether that's you typing a question or ChatGPT working out it needs something to answer you properly. If it has been asked, it will ‘ask’ at the fence for the relevant information, or instruct changes based on your prompts in ChatGPT
You also decide when ChatGPT needs your go-ahead. From the Capsule CRM connector's permission settings in your ChatGPT account, you can choose to have ChatGPT ask before every action, allow it to read your data freely but check with you before making changes, or let it handle low-risk actions on its own. You'll also be able to approve or decline individual actions as they come up in a conversation.
If you're on a ChatGPT Business or Enterprise workspace, some of these options may be set by your admin.
