Guide to Tracks

Tracks provide a simple way to define a sequence of tasks for things you do in your business and can be applied to opportunities or cases.
Examples of processes you could consider setting up as tracks include:

  • following through on a sales opportunity
  • managing a customer support query
  • issuing a monthly customer invoice
  • end of period accounting procedures


The following track definition demonstrates a simple predefined to-do list that you tick off when steps are completed:

Once defined, a track can be applied to new opportunities or cases that you create:

With a track underway, Capsule will show the steps that need to be undertaken for the opportunity or case and as you tick off each task, Capsule will automatically assign the next task.

How do I control the sequence of tasks in a track?

Each task in the track can be started a number of days after the track starts, or a number of days after the prior task in the sequence completes.

What happens to a track when the opportunity or case closes?

when a case or opportunity closes, the auto assignment of any incomplete tasks in the track will stop

What happens to existing opportunities or cases when I change the tasks in a track definition?

Any new opportunities or cases that you create will use the new track definition. Tracks in existing opportunities or cases will remain on the old track definition.
