Automate Your Contact Management: How to Add New MailerLite Subscribers to Capsule CRM

This powerful Make.com scenario template is perfect for adding new email subscribers to Capsule CRM automatically, and ensuring your CRM contact data is always up to date.

  • When a new subscriber is added in MailerLite, a search is performed in Capsule CRM.
  • If the subscriber doesn’t exist in Capsule, they will be added as a new Person record.
  • If the subscriber already exists, a Note will be added to their record instead.

Getting Started: What You'll Need

To build this automation, you will require:

  • A MailerLite account
  • A Capsule CRM account: An active Capsule CRM account.
  • A Make.com account: A Make account is necessary to use this template.

How to set up the MailerLite to Capsule Scenario

1. Access the Scenario Template

We have created a template to make the process as simple as possible. Click on the Make.com template link below to access the MailerLite Template: Add MailerLite Contacts to Capsule CRM, then choose + Use this Scenario to load it.

You will be prompted to log in to your Make account. If you don't have an account, you can sign up here - Make.com.

2. Connect your MailerLite Account

In the Scenario editor, click on the MailerLite module (the first circle on the left) and click Create a Webhook next to the Connection field.

A new pop-up will open, prompting you for a Webhook name and then a button to Create a connection. The name should be pre-populated as illustrated below, so proceed by clicking Create a connection.

A new pop-up will open, prompting you to enter your MailerLite API Key. You can find this key in your MailerLite dashboard under Integrations > Developer API or by clicking here.

Once you have the API token, copy and paste it into the API token field and select Save. Once the API token has been added, select the event A new subscriber is added to an account and click Save.

3. Connect your Capsule CRM Account

Click on the Capsule CRM module and click Create a connection:

A popup will open asking you to give the connection a name, this will be pre-filled with My Capsule CRM connection which can be used by clicking Save.

Upon clicking Save, a new window will open asking you to authorize Make to access your Capsule CRM account:

Enter your Capsule account’s site address and select Continue, then Allow on the next screen, to authorize the connection. Once authorized, the below pop-up will appear, confirming that it will identify new MailerLite subscribers by their email address:

Click Save to continue.

4. Check the Router Filters

The template comes with a Router that splits the workflow into two paths. You should verify the filters are set correctly:

  • Path 1 (Create Contact): Click the highlighted filter icon on the line connecting the Router to the Create a Party module. The filter should be set as below, with Party ID as Does not exist:

  • Path 2 (Add Note): Click the filter icon on the line connecting the Router to the Create an Entry module. The filter should be set to Party ID operator is Exists:

5. Connect to Capsule for post-router modules

For the two Capsule modules after the Router, click on each one and select Choose an account by clicking Choose an account.

Once you have selected your Capsule account for both modules, they will display their fields, these are pre-filled and should show the below:

  • Create a Party module fields:

The Create a Party module will also add a MailerLite Subscriber tag to the contact created in Capsule, allowing for easy identification of these contacts in Capsule.

  • Create an Entry module fields:

5. Test the Scenario

To ensure Make can successfully sync data from MailerLite to Capsule CRM:

  1. Turn the toggle on for Immediately as data arrives and then click the Run Once button in the bottom left corner of the Make editor.
  2. Add a new subscriber to your MailerLite account (or use an existing recent one, by clicking the down arrow next to the purple Run once button in Make).
  3. Watch the scenario run. You will see "bubbles" verifying the data flow as the contact travels through the automation.

6. Verify the Data in Capsule

  • If it was a new contact: Check Capsule to ensure the Person record was created with the correct Name and Email. Below we can see the contact has successfully been created in Capsule:

  • If it was an existing contact: Check the existing record in Capsule to ensure a Note was added:

7. Turn the Scenario On

Once the test is successful, turn the Scenario on by clicking the back icon in the top left of the scenario window:

Then, turn the toggle switch on, in the top right of the screen, highlighted below:

This activates the integration. From this point onward, any new MailerLite subscribers will automatically be processed into Capsule CRM.

  • Prevent duplicates: By searching for the contact first, you ensure you don't create duplicate records for people already in your database.
